> Overselling across Amazon, eBay, BIG W and your store causes cancellations, penalties and lost customers. Why it happens and how central stock sync stops it.

Overselling happens when two or more channels sell the same last unit before your stock count updates everywhere. The fix is structural: keep one central stock pool, push changes to every channel automatically, hold back a safety buffer on fast sellers, and dispatch from the same system that holds the stock. Spreadsheets and manual updates can't keep up once you sell on more than a couple of channels.

## Why overselling happens

Every marketplace keeps its own copy of your available quantity. When an order arrives on Amazon, your eBay, BIG W and Shopify listings still show the old number until something updates them. The longer the gap, and the more channels you have, the more likely two shoppers are to buy the same unit.

Common causes:

- **Manual stock updates** done once or twice a day.
- **Separate stock pools** per channel that drift apart over time.
- **Bundles and variants** that share components but are tracked as separate SKUs.
- **Unrecorded stock movements**, such as damaged goods, store sales or samples, that never reach the online count.
- **Peak events** such as Black Friday or Prime Day, when order volume outpaces any manual process.

## What overselling costs

**Marketplace penalties.** Seller-cancelled orders count directly against you. Amazon requires seller-fulfilled merchants to keep their [pre-fulfilment Cancellation Rate under 2.5% over a 7-day period](https://sellercentral.amazon.com.au/help/hub/reference/external/GGJVNFDXQT8C3RA8?locale=en-AU), or risk losing or having restricted selling privileges (Amazon, 2026). eBay counts [a seller cancelling an order "because it was out of stock, or because they sold it to someone else"](https://www.ebay.com.au/help/policies/selling-policies/seller-standards-policy?id=4347) as a transaction defect, with a limit of 2% of transactions (eBay, 2026). Sellers who fall to Below Standard can be placed lower in search results, and pay an [extra 5.5% fee on sales](https://www.ebay.com.au/help/selling/fees-credits-invoices/ebay-stores-selling-fees-managed-payments-sellers?id=4809) (eBay, 2026).

**Lost customers.** Shoppers who can't get what they ordered often go elsewhere. In one survey, when shoppers met an out-of-stock item [only 13% waited for it to come back, while 32% switched retailers](https://www.sap.com/research/omnichannel-retail-shopping-experience) (SAP, citing a December 2021 survey). A cancellation after purchase is worse than an out-of-stock listing, because the shopper has already committed.

**Wasted effort.** Every oversell means a cancellation, an apology, a refund, possibly a claim, and a customer service conversation.

The wider problem is large. IHL Group estimates inventory distortion, the combined cost of out-of-stocks and overstocks, at [$1.73 trillion a year, or 6.5% of global retail sales, with Asia-Pacific accounting for $642 billion](https://www.ihlservices.com/news/analyst-corner/2025/09/retail-inventory-crisis-persists-despite-172-billion-in-improvements/) (IHL Group, 2025).

## Six ways to stop overselling

1. **One source of truth.** Keep stock in a single system, usually an order management system (OMS), and treat every channel as a view of that number. Never edit stock directly in a marketplace portal.
2. **Automatic, frequent sync.** Every order, cancellation, return and stock adjustment should update all channels automatically, as close to real time as each marketplace's connection allows.
3. **Safety buffers.** For fast sellers and low-stock items, show slightly less than you hold, for example by withholding the last one or two units on high-velocity channels. You trade a few sales for far fewer cancellations.
4. **Model bundles properly.** Build kits from component SKUs so selling a bundle reduces each component, and selling a component reduces every bundle that uses it.
5. **Record every stock movement.** Store sales, write-offs, transfers and returns all need to reach the central count. Regular cycle counts catch drift before it causes oversells.
6. **Plan for peaks.** Raise buffers before major sale events, check that integrations can handle the volume, and pause channels that can't keep up rather than risk mass cancellations.

## Dispatch matters too

Overselling isn't the only stock-related risk. If stock is technically available but not where you expected, orders ship late. Amazon expects seller-fulfilled merchants to keep their [Late Shipment Rate under 4% and Valid Tracking Rate above 95%](https://sellercentral.amazon.com.au/help/hub/reference/external/GGJVNFDXQT8C3RA8?locale=en-AU) (Amazon, 2026). Linking stock, orders and label creation in one workflow reduces both oversells and late dispatch. ## How eComChannels helps

- [Order management](https://ecomchannels.com/products/order-management/) is the single source of truth. Orders from Amazon, eBay, Temu, BIG W Market, Woolworths Everyday Market, Bunnings, Kmart, Myer, THE ICONIC, Kogan, Etsy, Shopify, WooCommerce and the other supported channels come into one place. Every sale updates stock across all connected channels automatically. That cuts cancellations that damage your seller rating, and removes the manual work of updating stock in each portal.
- [AI auto shipping](https://ecomchannels.com/products/ai-shipping/) creates labels and manifests for Australia Post, StarTrack, CouriersPlease and Allied Express from the same order queue, and returns tracking to each marketplace. Orders that are in stock go out on time with valid tracking.

Together they let you add channels and increase exposure without adding the oversell risk that usually comes with it. ## FAQ

### How often should stock sync between channels?

As often as each marketplace's connection allows. Event-driven updates, triggered by each sale or stock change, are best. Hourly or daily batch updates leave gaps where oversells happen, especially during sales.

### Should I split stock between channels instead of sharing it?

Splitting stops oversells but often strands stock on slow channels while fast channels sell out. A shared pool with automatic sync and small safety buffers usually sells more with fewer cancellations.

### Does Fulfilment by Amazon prevent overselling?

FBA stock is held separately in Amazon's warehouses, so Amazon orders draw on it rather than on your own stock. You still need accurate sync for the stock you fulfil yourself across other channels.
