> A month-end close checklist for Australian online retailers: cut-off, settlements that straddle month end, stock, refunds, GST and channel reporting.

A good month-end close for an online retailer confirms four things: every sale from every channel is recorded once, every marketplace payout and fee is reconciled, stock and cost of goods are right, and refunds and GST sit in the correct period. The hardest part is usually marketplaces, because their settlement cycles rarely line up with calendar months. With reconciled channel data and a fixed checklist, most small and mid-sized retailers can close in a few days rather than a few weeks.

## Why e-commerce closes take longer

Benchmarks show how much variation there is. APQC data from around 2,300 organisations found a [median monthly close of 6.4 calendar days, with top performers at 4.8 days or less and the slowest quarter at 10 days or more](https://www.cfo.com/news/metric-of-the-month-cycle-time-for-monthly-close/659297/) (CFO.com/APQC, 2018). Those figures cover all industries; online retailers face extra friction:

- **Payout cycles cross month end.** Amazon.com.au [closes settlements every 14 days](https://sellercentral.amazon.com.au/help/hub/reference/external/G200801160), so at least one settlement period will usually straddle the end of the month (Amazon Seller Central, 2026).
- **Many sources of truth.** Each marketplace, payment provider and BNPL service has its own report.
- **Refunds lag sales.** A refund in this month may relate to a sale last month.
- **Inventory moves fast.** Stock is sold on several channels and may sit in third-party warehouses.

Errors make it worse. Gartner found that when accountants' errors [make their way into the monthly or quarterly close, decisions can be made on incorrect data](https://www.gartner.com/en/newsroom/press-releases/2024-02-21-gartner-survey-shows-that-a-third-of-accountants-make-several-error-per-weeo-due-to-capacity-constraints), and that 18% of accountants make errors at least daily (Gartner, 2024).

## Before month end: the pre-close

The APQC commentary recommends moving as much work as possible ahead of month end, including [reconciliations and journal entries that can be done before the period closes](https://www.cfo.com/news/metric-of-the-month-cycle-time-for-monthly-close/659297/). For a retailer that means:

- [ ] Reconcile every settlement that has already closed during the month.
- [ ] Clear unmatched items from previous months, such as short payments and pending reimbursements.
- [ ] Confirm fee rules and category mappings are current for each marketplace.
- [ ] Agree a cut-off time for orders, dispatch and refunds, and tell the team.
- [ ] Schedule a stocktake or cycle count for high-value lines.

## Month-end checklist

**Sales and receivables**

- [ ] Export orders from every channel for the month and compare totals to your order management system.
- [ ] For settlements that straddle month end, record sales up to the last day as receivable from the marketplace, rather than waiting for the payout.
- [ ] List shipped but unpaid orders, and unpaid reserves, as receivables.

**Fees and expenses**

- [ ] Book marketplace fees gross, by type: commission, advertising, fulfilment, labels and refund fees.
- [ ] Accrue fees for the part of an open settlement that belongs to this month.
- [ ] Download tax invoices for fees and check whether each channel quotes fees including or excluding GST.

**Refunds and disputes**

- [ ] Match every refund to its original order and channel.
- [ ] Record chargebacks and their status; note any won or lost in the period.
- [ ] Check returned stock has been booked back into inventory or written off.

**Inventory and cost of goods**

- [ ] Reconcile stock on hand across your warehouse, 3PLs and marketplace fulfilment centres.
- [ ] Update landed cost for new stock (product, freight, duty).
- [ ] Post cost of goods sold for the month's sales.

**Cash and tax**

- [ ] Reconcile every bank account and payment provider balance. The ATO's guidance for businesses includes the basic step to [reconcile sales with bank statements](https://www.ato.gov.au/businesses-and-organisations/preparing-lodging-and-paying/business-activity-statements-bas/bas-and-gst-tips) (ATO, 2026).
- [ ] Review GST on sales, fees and refunds if a BAS period ends this month. This is general information only; confirm treatment with your tax agent.

**Reporting**

- [ ] Produce contribution margin by channel, as described in our guide to [profitability per sales channel](https://ecomchannels.com/insights/profitability-per-sales-channel/).
- [ ] Compare actual cash to your forecast and update the next 13 weeks.

## How to close faster

Three changes make the biggest difference:

1. **Standardise your chart of accounts.** APQC data showed organisations with widespread use of a standard chart of accounts [complete their monthly statements about two days faster](https://www.cfo.com/news/metric-of-the-month-cycle-time-for-monthly-close/659297/). For retailers, that means the same fee and revenue accounts for every channel.
2. **Reconcile continuously.** If each settlement is reconciled when it closes, month end is mostly a review.
3. **Automate the matching.** Finance leaders are moving this way: in Deloitte's Q4 2025 survey of North American CFOs, [49% named automating processes to free staff for higher-value work as their top finance talent priority](https://www.deloitte.com/us/en/about/press-room/deloitte-q4-2025-cfo-signals-survey.html) (Deloitte, 2026). ## How eComChannels helps

[eComChannels Finance auto reconciliation](https://ecomchannels.com/products/finance-reconciliation/) reconciles each marketplace settlement as it arrives, so most of the month's matching is done before month end. It identifies sales that belong to this month but will be paid next month, separates fees by type, and links refunds to original orders, giving you the accrual and receivable figures the checklist calls for.

[eComChannels order management](https://ecomchannels.com/products/order-management/) holds orders and stock from every channel in one place, so the sales export and inventory reconciliation come from a single source rather than many marketplace portals. The result is fewer days spent closing, fewer corrections afterwards and channel reports your team can act on early in the month. ## FAQ

### How do I handle a marketplace settlement that spans two months?

Record the sales and fees that belong to each month in that month, using order-level data, and treat the unpaid balance at month end as a receivable from the marketplace. The payout then clears the receivable.

### How long should an online retailer's close take?

There is no single rule. In APQC's benchmark the top quarter of organisations closed in 4.8 days or less. Continuous reconciliation is the main lever.

### Do I need to do a stocktake every month?

Not always. Many retailers count high-value or fast-moving lines monthly and do full counts less often. Your accountant can advise what suits your business.
